How to skip envelope items using your ZyLAB Archiving Services for Office Outlook profile

SYMPTOMS

Select 'Skip Envelope Item' in your ZyLAB Archiving Services for Office Outlook profile if you want to treat the attachment of a journal item (email) as the original message.

According to Microsoft the journal messages that are sent to the journaling mailboxes are MAPI messages (the body of which is the original message sent by the sender). These MAPI messages contain the journaling property, which also contains all the recipient information for the message. The journaling mailbox requests that the Exchange Store service package an envelope message that contains all this data. The resulting message is similar to a non-delivery report (NDR) message.

The body contains Exchange-generated data (in this case the sender, the original message ID, and a list of recipients), and the original message is attached. If an email is journaled (forwarded based on a journal rule or query), this email will be sent in a new email (envelope) as attachment, without adding extra information when the envelope item is skipped.

You can select the 'Skip Envelope items' checkbox in the ZyLAB Archiving Services for Office Outlook profile. The original message will be stored, thus adding only relevant information to the index. The envelope item will not be added to the index

RESOLUTION

• Click on the ZyLAB menu on the outlook ADD-INS ribbon.
• Select the Archiving options.
• Open or create the profile that you want to use.
• Select the fast transfer method.
• Select the applicable archive location.
• Click on 'Archive Attachments' in the Archive Format Option window.
• Select 'Extract Msg Attachments'.

This option prevents envelope items to be added to the index.

For all attached emails/documents that will be extracted  the additional Journal email wrapper MSG BODY information is not stored.

In addition you can enable the 'Keep Journal Body as field' option if you want to store information from a journaled item in an additional key field of the journaled email message.
Keep in mind that the key field Journal_Information has to be manually added to the Email Archive Index.

Use the following field type definition settings:

• Key field type:         memo field
• Key field delimiter:   emxjrnl
